Share a Template

Updated 2026-07-21·3 min read

TL;DR: Share a template to the Taskade Template Gallery or privately with a link. Templates carry structure, sample content, custom fields, and default view, but never the data of existing projects using them.

How a project becomes a reusable template, then reaches your team or the world.

Overview

Starting a project from scratch can be a time-consuming chore. Taskade lets you convert projects into custom templates you can share with anyone. Shared templates let your team or clients create new projects from a proven structure in just one click.

A template copies the shape of a project, never the live data of projects already built from it:

✅ Carried into new projects ❌ Never carried over
Structure and headings Data in existing projects using the template
Sample content and checklists Comments and chat history
Custom fields and default view Assignees and due dates from live work

Note: Visit Create & Use Templates for detailed instructions.

Share Templates

  1. Create a new project inside a workspace or folder.
  2. Click ··· in the top-right corner ➡ 📋 Copy template.
  3. Choose a shared workspace/folder.

The template will be available to all members of the destination workspace. Anyone with access can create a new project from the template.

Publish a Template

Do you want to share your templates with clients or publish them on your website? You can generate a Viewer link or an embed code and show your template to the world.

  • 👀 Viewer Link

    • Go to the Templates tab (click ˅ next to the name of a workspace/folder).
    • Click Share in the top-right corner of a template.
    • Select Invite to project and choose the 🤓 Viewer permission.
    • Click Copy link and send the link to a friend, client, or team member.
  • 📥 Embed Code

    • Go to the Templates tab (click ˅ next to the name of a workspace/folder).
    • Click Share in the top-right corner of a project or template.
    • Go to the Embed tab ➡ Copy embed code.
    • Embed the HTML code on your website or blog.

Tips

  • Use Schedule Templates to automatically create new projects from a template on a recurring basis.
  • Set the permission to Viewer when sharing externally so recipients can see the template but not modify the original.
  • Embed templates on onboarding pages or wikis so new team members can spin up standardized projects instantly.
  • Browse the Template Gallery for ready-made templates you can customize and reshare.
