SMTP Integration

Overview

Connect your own mail server or email provider to Taskade with SMTP. Your automations then send email from your own address, under your own domain, and replies come back to you.

TL;DR: SMTP connects Taskade automations to your mail server or to a provider relay such as SendGrid, Mailgun, Postmark, Amazon SES, Google Workspace, or Microsoft 365. The Send Email action sends a message from your own address, with CC, BCC, HTML, and attachments. SMTP steps need a paid plan.

Before You Start

  • What you need: The SMTP settings of your mail server or email provider, and a Taskade workspace
  • Plan: Available on paid plans. On Free, the SMTP step shows an upgrade badge and opens the upgrade page.
  • Time: About 5 minutes

Step 1: Find Your SMTP Settings

Your mail provider lists these values under "SMTP" or "SMTP relay". Write down the host, the port, the username, and the password.

Provider Host Port Username Password
SendGrid smtp.sendgrid.net 587 apikey Your SendGrid API key
Resend smtp.resend.com 587 resend Your Resend API key

Mailgun, Postmark, Brevo, Amazon SES, Google Workspace, and Microsoft 365 also publish an SMTP host on port 587.

Step 2: Connect SMTP in Taskade

Taskade stores the connection for the whole workspace, so every automation that uses SMTP reuses it. Taskade encrypts your password and uses it only to send mail from your automations.

  1. Open Automations in your workspace, and click Create.
  2. Add a step, and search for SMTP.
  3. Click Connect.
  4. Enter the Host without smtp:// and without a port, for example smtp.example.com.
  5. Pick the Port: 587 (STARTTLS), 465 (SSL/TLS), or 2525 (alternate STARTTLS). Use 587 unless your provider gives another port.
  6. Keep Security on Automatic. The connection is always encrypted.
  7. Enter the Username and the Password. If your relay needs no login, leave both empty.
  8. Save the connection. Taskade tests it with your mail server before it saves it.

Step 3: Add the Send Email Action

SMTP has one action and no triggers. Add it after any trigger. See Automation Triggers and Automation Actions for the steps that you can combine with it.

Action What it does
Send Email Sends a new email through your SMTP server, from your own address. Each run sends one email.
Field What to enter
From Your sender address, for example support@acme.com. To show a name, write Acme Support <support@acme.com>. Your relay must allow this address.
To One address, or up to 20 addresses separated by commas.
CC and BCC Optional. Addresses separated by commas. To, CC, and BCC together hold up to 50 recipients.
Reply-To Optional. The address that gets replies, if it is not the From address.
Subject The subject line.
Plain text body and HTML body Fill in one or both. Both give the best delivery.
Attachments Optional. Up to 10 public https:// file links. Taskade downloads each file and attaches it.

You are done when a test run delivers the email to your inbox from your own address.

Build Your First SMTP Automation

Start from one of these patterns, then add your own steps.

Goal Trigger Steps that follow
Answer a new request Task Added in an intake project Ask AI to write a reply, then Send Email to the person
Send a weekly report Every week (Schedule) Find tasks, then Send Email with the list to your team
Share a project summary Every day (Schedule) Export a project, then Send Email with the export in the body

To describe an automation in plain words instead, ask Taskade EVE in your workspace. For example:

Build an automation that uses SMTP. When a task is completed in a project that I pick, send an email from my address to me with the task name. Do not add any other steps yet.

The last sentence of the prompt keeps the first draft small, so you can test one step before you add more.

Frequently Asked Questions

How is SMTP different from the built-in Send an email step?

The built-in Send an email step sends from Taskade's address, and only to you or a verified member of your workspace. The SMTP Send Email action sends from your own address, to anyone, through your own mail server.

Which port do I use for SMTP?

Use port 587 unless your provider gives another port. Taskade also accepts port 465 for SSL/TLS and port 2525 as an alternate STARTTLS port.
