Does it stop double bookings automatically?
The Calendar view makes overlaps obvious and the approval step catches the rest. For items where a clash is genuinely costly, route every request through an approver rather than auto-approving, since a two-second human check beats an argument on the day.
Can different resources have different rules?
Yes. A meeting room can auto-approve, a company van can require a manager, and a specialist camera can require both an approver and a returned-condition note. The routing is a filter on the resource type.
How do we chase things that are not returned?
An automation checks the expected return time and messages the borrower if the status is still Out. Escalation to their manager after a further delay is one more step if you need it.
Can we see resource utilization?
Yes. The Table view counts reservations per resource over a period, which is the number that settles arguments about whether to buy another one or free up a room that is booked but never used.
Does it work for hot desks?
Yes. Treat each desk or zone as a resource. Many teams book zones rather than specific desks, which is less precise and far more likely to be used.
Can the team book from their phone?
Yes. The request form works on mobile, which matters because most resource bookings happen while someone is walking to a meeting rather than sitting at a computer.
Who can approve requests?
Whoever you nominate. Invite approvers to the workspace and assign them per resource type. Roles run from Owner through Viewer, so an approver does not need admin control over the whole app.
Can we track condition and maintenance?
Yes. The condition note captured at return becomes a running maintenance history on the resource record, so a recurring fault is visible as a pattern rather than a surprise.
