The confirmation writes and sends itself. Describe your services and your tone, and Taskade Genesis builds a booking app where flipping a request to Confirmed sends an on-brand email with the agreed time, the address or meeting link, what to bring, your cancellation policy, and a calendar file the customer can add in one tap.
The Appointment Booking System is a live Taskade Genesis app running on this page. Click through it, see how a real booking record behaves, then press "Use this app" to clone it in about ten seconds and build the confirmation flow described here on top of it. Nothing here is a screenshot.
A confirmation is the cheapest trust you will ever buy, and it is the message small teams most often forget. This build makes forgetting impossible: the message is attached to the status change, not to a person remembering. It also removes the second most common failure, which is a confirmation that is technically sent but missing the detail the customer actually needed, like parking, the door code, or whether to eat beforehand.
What you get: a message template per service, merge fields for name, service, date, time, duration, and location, a written cancellation and reschedule policy that goes out with every booking, an optional calendar attachment, and a log on the record showing exactly what was sent and when.
The same records render across the layouts you need:
- List view for a clean sequential read of today's confirmations
- Table view to audit which bookings have had a confirmation sent and which have not
- Calendar view to see the confirmed week at a glance
- Plus Board, Mind Map, Gantt, and Org Chart across the rest of the 7 project views
Automations do the sending. A field update trigger watches the status field, a branch action picks the right template for the service, and Gmail sends the message. Slack posts a one-line note to your team channel so the front desk knows without checking. Across 100+ bidirectional integrations, forms and Google Calendar pull in while Gmail, Slack, and SMS push out. Automations are a paid-plan feature; the Free plan includes 10 flow runs in total.
The AI agents in the app carry 34 built-in tools including persistent memory. The Confirmations agent keeps your voice consistent whoever is on the desk, rewrites the message when a booking moves, and remembers that this customer always asks about parking so the answer is already in the email.
The detail worth obsessing over is the part after the time and date. Most confirmations stop at "you are booked for Tuesday at 3pm", and most of the questions your front desk fields afterwards are about everything else: where to park, which entrance, whether to arrive early, what to bring, what happens if it rains, who to call if they are running late. Every one of those answers belongs in the confirmation, written once per service and sent forever. The message gets a little longer and your phone gets a lot quieter.
It is also worth stating the cancellation and reschedule policy in the same email rather than burying it on a website page. A policy that arrives with the good news reads as normal housekeeping. The same policy produced for the first time during an argument reads as a penalty, and that is the difference between a customer who reschedules politely and one who never comes back.
Clone it, invite the team, and the templates are yours to edit forever. No vendor decides what your confirmation says.

Frequently Asked Questions
Does the email come from my address?
Yes. Connect your own Gmail account through the Gmail integration and confirmations send from the address your customers already recognize, with replies landing in your normal inbox.
Can different services send different confirmations?
Yes. A branch step reads the service on the record and picks the matching template, so a home visit can include the address and access notes while an online session includes the meeting link instead.
What if I need to change a confirmed booking?
Change the date on the record and the automation can send a revised confirmation that clearly states what moved. The reschedule flow covers the customer-initiated side of the same problem.
Can I include a calendar invite?
You can attach a calendar file to the message so the customer adds it in one tap, and you can sync your own confirmed bookings out to your calendar with calendar sync.
Will it send twice if I edit the record?
Not if the automation is scoped to the status field changing into Confirmed rather than to any edit. A filter step on the previous value keeps it to one send, and the log on the record shows every message that went out.
Can the confirmation include the payment link?
Yes. Add the Stripe Checkout Session action before the email step and pass the generated URL into the message, so the confirmation and the deposit request are the same email.
Does the customer need an account to read it?
No. It is a normal email. If you want a portal where customers see all their past and upcoming bookings, that is app sign-in on Business plans and above, covered in Learn.
How do I know it actually sent?
Every run is logged, and the record carries a sent timestamp. The Table view can be filtered to confirmed bookings with no confirmation logged, which is the one report a front desk should check daily.
