Fewer empty chairs, without anyone chasing: describe your appointment types and Taskade Genesis builds an app that sends a reminder the week before, the day before, and the morning of, asks for a one-tap confirm, and opens a rebooking conversation the moment someone does not arrive.
The Appointment Booking System is a live Taskade Genesis app you can use on this page. It handles the booking itself rather than the reminder cadence, so use it as the base: press "Use this app" to clone it in about ten seconds, then add the reminder steps and the no-show follow-up described below.
No-shows are almost never malice. They are a booking made three weeks ago that fell out of someone's head. A reminder cadence fixes most of it, and the last reminder is the one that matters: a short message on the morning of, with the time, the place, and a way to say "cannot make it" that does not require a phone call. Making cancellation easy sounds backwards and is not. A slot you know about at 9am can be refilled. A slot you learn about at 2pm is gone.
What the build gives you: three reminder steps with editable copy and timing, a confirm-or-change reply that updates the record, a no-show status with a reason field, an automatic follow-up that offers the next available date, and a running no-show rate per service and per customer so you can see where the leak is.
The same bookings render in the views you need:
- Calendar view for the week ahead with every reminder state visible on the date
- Board view to move bookings through Reminded, Confirmed, Attended, and No-Show
- Table view for no-show counts per customer and per service
- Plus List, Mind Map, Gantt, and Org Chart across the rest of the 7 project views
Automations carry the whole cadence. A scheduled trigger sweeps tomorrow's bookings each evening and sends the day-before message. A task due trigger handles the morning-of nudge. A delay action plus a filter fires the no-show follow-up one hour after the appointment time if the status is still Confirmed. Across 100+ bidirectional integrations, Gmail and Twilio pull replies in while SMS, email, and Slack push reminders out. Automations run on paid plans; the Free plan includes 10 flow runs in total.
The AI agents in the app carry 34 built-in tools including persistent memory and multi-agent collaboration. The Reminders agent varies the wording so a regular customer does not get the same three sentences every month, and it flags customers whose no-show rate suggests a deposit should be required next time.
One thing worth building into the cadence from day one is a record of why people miss appointments. A single optional reason field on the no-show follow-up turns an annoyance into data. After thirty or forty entries the pattern is usually obvious: a particular time of day, a particular service, a particular booking lead time. Fixing the cause is far cheaper than sending a fourth reminder.
Clone the app, invite your team, and the cadence is yours to tune. Change the timing, the tone, and the channel whenever you like.
Learn recurring runs in Learn, due-date triggers in Learn, and SMS through the Twilio integration. Browse live builds in the Community Gallery and grab a base from the templates library. Pair this with the confirmation email flow that starts the relationship, and the waitlist backfill app that fills the slot an early cancellation frees up.
Frequently Asked Questions
How many reminders is too many?
Three is the usual sweet spot for appointments booked more than a week out: one at booking, one the day before, one on the morning. For same-week bookings, drop to the morning-of message only. All of the timings are editable on the record, so you can test and settle.
Can reminders go by SMS instead of email?
Yes. Connect Twilio and the same automation sends a text instead of, or as well as, the email. Many operators send the day-before message by email and the morning-of message by SMS.
How does the app know someone did not show up?
You mark it, or the automation infers it. A delay step waiting one hour past the appointment time checks whether anyone moved the status to Attended. If not, it flags a probable no-show for a human to confirm, which avoids accusing a customer who simply arrived while the desk was busy.
Does it automatically rebook a no-show?
It opens the conversation rather than assuming. The follow-up message offers to find a new time and links back to your request form, so the customer proposes and you confirm. See the reschedule and cancellation flow for the full handling.
Can I require a deposit from repeat no-shows?
Yes. The Table view surfaces no-show counts per customer, and a branch in the booking automation can require a Stripe Checkout deposit when that count crosses your threshold.
Will customers get reminded about a cancelled booking?
No, as long as the cadence filters on status. Cancelled and Moved bookings drop out of the sweep automatically, which is the main reason to run reminders from a live record rather than a static send list.
Can I see whether reminders are actually working?
Yes. Track no-show rate per service before and after, straight from the Table view. Because every reminder is logged on the record, you can also compare bookings that received all three messages against those that did not.
Does this need my calendar connected?
Not to send reminders, since it works from the booking records. Connecting a calendar with calendar sync is still useful so confirmed bookings appear beside the rest of your day.
