Upload each closing document as it arrives and the packet checks itself: title report, disclosure statements, survey, inspection report, loan documents, and the signed acknowledgments, each one read for its key dates and marked present. The day before closing you look at a list, not at a folder.
The app embedded on this page is the Internal Docs App, a real Taskade Genesis build you can browse right now. It keeps a set of documents together and findable, which is the packet half of this build. Click "Use this app" to clone it in about ten seconds, turn the document list into the required-items checklist below, then add the upload form and the reading step that ticks items off.
Concretely, a Transactions Project holds one row per closing and a Documents Project holds one row per required item, kept as connected records so a transaction with fourteen documents remains one transaction. A published upload page takes the transaction reference, the document type, and a File field, and it stays open through the whole process so documents join as they arrive. The Convert File to Text step reads each file, and closings are a mixed bag of typed PDFs, scanned signature pages, and photographs taken by whoever had a phone. An Ask Agent step returns the fields for that document type: property address, parties, closing date, loan amount, disclosure dates, inspection findings summary, and signature dates. The packet list then shows present, missing, or unsigned per item, which is the answer everyone actually wants.
The packet reads in the layouts a closing needs:
- List view for the packet checklist as a readable to-do
- Table view for the register across every open transaction
- Calendar view for closing dates and disclosure deadlines
- Plus Board, Mind Map, Gantt, and Org Chart across the 7 project views
Automations protect the date. With Taskade automations, a packet still missing an item three days before closing notifies the coordinator and emails the responsible party a list of exactly what is outstanding, and an unsigned document is flagged the moment it is uploaded. Across 100+ bidirectional integrations, Gmail pulls documents in while Slack, email, and calendar push reminders out. The AI agents inside the app carry 34 built-in tools with persistent memory, so an agent can answer questions about a transaction grounded in its own documents.
Define the packet per transaction type rather than as one universal list. A cash purchase and a financed purchase need different documents, and a single checklist that covers both trains everyone to ignore the items that do not apply. Keep the definition as data so a change in local practice is an edit. Set the reminder further out than feels necessary, because three days before closing is already late for a document that has to be requested from a third party. Once the packet definition is right, most closings run themselves and your attention goes to the two that do not.
Clone the app, invite your coordinators and agents, and the packets, the documents, and the checklist are yours.

Frequently Asked Questions
Does it check that a document is signed?
It checks for the signature date and any signatory names stated on the page and reports the item as unsigned when they are absent. Treat that as a flag for a human to confirm rather than as legal verification.
Can documents be added over several days?
Yes, and that is how closings actually work. Keep the upload surface open and tie each submission to the transaction reference, so items join the same packet whenever they arrive.
What if a document type is not on my list?
Add it to the checklist in a follow-up prompt. The packet definition is data rather than code, so extending it does not mean rebuilding the app.
Does it give legal or financial advice?
No. It reads the dates and figures stated in the documents and reports what is present. Every professional judgment stays with the professional, and the original file is one click from every row.
Can the other side upload directly?
Yes. Share the published form link, and turn on app sign-in through App Users if you want each upload attached to a named signed-in person. On Business plans and above the portal can sit on your own domain.
How large can a scanned packet be?
Each scanned file should stay under 20 MB, the ceiling for reading words off an image. Typed PDFs are read as text and bounded by your plan upload size. Uploading page groups separately is easier to check anyway.
Where do the documents live afterwards?
Attached to their rows and in your workspace Media tab, so the completed packet is a real archive rather than a checklist of things that once existed.
Can several people work the same packet at once?
Yes. Each document is its own row, so a coordinator uploading a survey and an agent uploading a disclosure do not collide. The checklist updates as items land, and List view shows everyone the same outstanding set.
