What does this automation do?
A request form is judged against your written policy, and only the requests that genuinely need a signature reach a person.
What can you do with it?
- Approve the routine requests without a human in the loop
- Route the exceptions to a named approver with the reasoning attached
- Apply one policy instead of whoever happens to read it
The Steps
This automation runs in 3 steps:
- When Form Submitted
- Then Taskade AI — Ask Agent ("Approvals Desk")
- Then Branch — Needs a human sign-off: Add Task, Assign Task, Send Email (Taskade) · Within policy: Add Comment, Send Email (Gmail)
What makes this different from a Zapier-style flow?
The "Approvals Desk" step is not a one-off model call. It is a Taskade AI agent that knows your approval policy, spend limits and delegation rules, remembers every request it has already ruled on, so every run builds on the last one instead of starting from an empty prompt.
A stateless "ask the model" step forgets everything the moment it returns. An agent keeps its knowledge and its memory between runs, carries its own tools, and can be handed work by other automations.
Who is this automation for?
Built for operations teams drowning in requests that mostly do not need review. A request form is judged against your written policy, and only the requests that genuinely need a signature reach a person.
How do you set it up?
- Open the "Automations" tab in your workspace.
- Click ➕ Add automation, then start from scratch.
- Add the "Form Submitted" trigger.
- Add the action "Ask Agent" from Taskade AI. Point it at an agent called "Approvals Desk".

- Enable the toggle in the top-right corner to activate the automation.
Prefer to describe it instead? Click Build this flow with AI above and Taskade wires the trigger, the steps, and the agent for you.
