What does this automation do?
An agent that has been asked for a time runs this flow, checks who is actually free, books the slot, and sends the confirmation.
What can you do with it?
- Book against real availability rather than a guessed slot
- Turn "when are you free" into a confirmed event in one step
- Stop the back-and-forth that follows every scheduling request
The Steps
This automation runs in 5 steps:
- When Agent Tool
- Then Google Calendar — Get Free/Busy
- Then Taskade AI — Ask Agent ("Scheduling Desk")
- Then Google Calendar — Create Event
- Then Gmail — Send Email
What makes this different from a Zapier-style flow?
The "Scheduling Desk" step is not a one-off model call. It is a Taskade AI agent that knows your meeting types, working hours and buffer rules, remembers what it has already booked this week, so every run builds on the last one instead of starting from an empty prompt.
A stateless "ask the model" step forgets everything the moment it returns. An agent keeps its knowledge and its memory between runs, carries its own tools, and can be handed work by other automations.
Who is this automation for?
Built for sales and success teams whose agents schedule on their behalf. An agent that has been asked for a time runs this flow, checks who is actually free, books the slot, and sends the confirmation.
