Book the shoot and everything the shoot needs. Describe your services and Taskade Genesis builds an app that takes booking enquiries with the brief attached, holds the date against a deposit, collects the shot list and location details, and hands the crew a call sheet on the morning.
The Room Booking Dashboard is a live Taskade Genesis app on this page. It books a space for a block of time, which is exactly the studio half of this build; press "Use this app" to clone it in about ten seconds, then add the shoot type, the crew, and the deliverables described below.
A shoot booking is really three bookings in one: the client's date, the studio or location, and the crew. When those live in different places, the failure is always the same, a date agreed with a client that the second shooter cannot make. Keeping all three on one record is unglamorous and removes almost every scheduling problem a small studio has.
What the build gives you: an enquiry with shoot type, date, location, and budget. Plus a deposit that secures the date, a brief and shot list the client can add to, crew assignments with their own confirmation, a call sheet generated for the morning, and a delivery tracker for the edit and the gallery afterwards.
The same bookings render across the layouts you need:
- Calendar view for shoot dates, prep days, and delivery deadlines together
- Board view to move shoots through Enquiry, Deposit Paid, Booked, Shot, Editing, and Delivered
- Table view for balance owed, delivery date, and crew per shoot
- Plus List, Mind Map, Gantt, and Org Chart across the rest of the 7 project views
Automations carry the production admin. A field update trigger on Booked fires the Stripe Checkout Session action for the deposit and requests the brief. A scheduled trigger sends the call sheet to the crew the evening before. A task due trigger chases the edit against the promised delivery date and requests the final balance on delivery. Across 100+ bidirectional integrations, Stripe and Gmail pull in while email, Slack, and calendar entries push out. Automations run on paid plans; the Free plan includes 10 flow runs in total.
The AI agents in the app carry 34 built-in tools including file analysis, web search, and persistent memory. The Production agent turns a loose client brief into a structured shot list, drafts the call sheet, and flags shoots whose delivery date is at risk before the client notices.
The delivery half matters as much as the booking half. Most studio complaints are not about the shoot, they are about the wait afterwards and the silence during it. A promised delivery date on the record, chased automatically, plus a short message when the edit starts, converts the most common source of friction into a non-event.
Clone the app, invite your crew, and the client history is yours. Every brief, every shot list, every location note, ready for the repeat booking.
The brief is the other place shoots go wrong, and it goes wrong quietly. A client who says "just something natural" and a photographer who hears "documentary" can both leave the day satisfied and disagree completely a week later. Capturing references, must-have shots, and the one image the client cannot go without, in writing, on the record, turns that from a taste argument into a checklist.
Enquiry-to-booking rate is the number to watch on the front end. If most enquiries never reach a deposit, the problem is usually the gap between the enquiry and your reply rather than the price. Because every enquiry lands as a record with a timestamp, that gap is measurable rather than a feeling.

Frequently Asked Questions
Can a shoot block more than one day?
Yes. Set a start and end on the record and the Calendar view shows the whole block, including prep and travel days if you add them. Multi-day shoots are where a single-day booking tool usually falls over.
How does crew confirmation work?
Each assigned crew member gets a request and confirms on the record. Until they do, the shoot shows as provisionally crewed, which is the state most studios track in their heads and forget.
Does the client fill in the shot list?
They can. Share the brief section with the client so they add references and must-have shots directly, which is far better than reconstructing it from three email threads on the morning.
What happens if a client moves the date?
Change the date and the crew confirmations reset so nobody assumes the old date still stands. Your deposit policy decides whether the move costs anything, and the record shows what was agreed.
Can we track the edit and delivery too?
Yes. Delivery date, edit status, and gallery link live on the same record, so the shoot and its output are never in two systems.
Does it handle location shoots as well as studio ones?
Yes. Location, access notes, and parking sit on the record and appear on the call sheet, which is exactly what the crew needs at 6am and never has.
Can we take the final balance automatically?
Yes. On delivery, an automation sends a hosted Stripe Checkout link for the remaining balance. See the final balance prompt for the full flow.
Can we see which shoot types are most profitable?
Yes. Record fee, crew cost, and hours per shoot and the Table view gives you margin by shoot type, which usually surprises people who have been pricing by tradition.
