Stop scheduling interviews by email. Describe your process and Taskade Genesis builds an app that offers each candidate a short list of times your panel has already agreed to, records their choice, confirms it to everyone at once, and sends the interviewers their brief without anyone chasing.
The Meeting Scheduler is a live Taskade Genesis app on this page. Propose a time in it, see how a real scheduling record behaves, then press "Use this app" to clone it in about ten seconds and adapt it into the interview slot flow described here.
Interview scheduling is the slowest step in most hiring processes and it is almost never the hard part. Three people need to be in a room, one of them does not work for you yet, and the coordination happens over email where every round trip costs a day. Offering a small set of pre-agreed slots collapses that to a single exchange, and the good candidates, who are usually also talking to someone else, notice.
What the build gives you: a record per candidate and stage, a set of offered slots the panel has confirmed they can make, a choice link that locks one slot and releases the others, an automatic confirmation with the meeting link to candidate and panel, an interviewer brief with the CV and the questions for that stage, and a scorecard waiting after the interview.
The same records render across the layouts you need:
- Board view to move candidates through Slots Offered, Confirmed, Interviewed, and Decided
- Calendar view for every confirmed interview across all open roles
- Table view for stage, panel, slot, and scorecard status side by side
- Plus List, Mind Map, Gantt, and Org Chart across the rest of the 7 project views
Automations remove the chasing. A field update trigger on the chosen slot confirms to all parties and creates the calendar entries. A delay action nudges a candidate who has not chosen within 48 hours. A task due trigger sends the interviewer their brief the evening before and the scorecard reminder an hour after. Across 100+ bidirectional integrations, Gmail and Zoom pull in while email, Slack, and calendar entries push out. Automations run on paid plans; the Free plan includes 10 flow runs in total.
The AI agents in the app carry 34 built-in tools including file analysis, persistent memory, and multi-agent collaboration. The Scheduling agent reads the CV, drafts stage-specific questions for the panel, and writes the candidate confirmation so that every applicant gets the same clear, professional message.
Candidate experience is the underrated benefit. Most of what a candidate learns about how you operate comes from the scheduling exchange, long before they meet anyone. A single message with three times, a clear meeting link, and a brief that tells them who they are meeting and what to expect does more for your employer brand than a careers page.
Clone the app, invite your hiring team, and the process is yours. No per-recruiter licence for sending a calendar invite.
Time-to-schedule is worth measuring alongside time-to-hire. It is the part of the process you fully control, it is usually the largest single delay between stages, and it is the one candidates experience as a signal about what working with you would be like. Recording the gap between offering slots and confirming one gives you a number that improves quickly once anyone is watching it.

Frequently Asked Questions
Where do the offered slots come from?
From your panel. Someone marks a handful of times the interviewers can make, and only those are offered. That keeps the promise real, which a shared availability feed pulled from busy calendars rarely does.
What stops two candidates picking the same slot?
The choice locks the slot the moment it is taken and removes it from any other open offer. If a clash still slips through, the Calendar view surfaces the overlap before the day arrives.
Can candidates ask for a different time?
Yes. The choice page includes a "none of these work" option that comes back to you with their constraints, rather than sending them into an email thread. You then offer a second set of slots.
Does the panel get prepared automatically?
Yes. The evening before, each interviewer receives the CV, the stage-specific questions, and the meeting link. An hour after, they get a scorecard reminder while the conversation is still fresh.
Can we run several roles at once?
Yes. Role is a field on the candidate record and each role can have its own stages, panel, and question set. The Board view can be filtered per role or viewed across all of them.
Does it work for remote and in-person interviews?
Both. The confirmation includes either the meeting link or the address and arrival instructions, chosen by a branch on the interview type.
How do we keep scorecards consistent?
The scorecard is generated per stage with the same criteria for every candidate, so comparison is fair. The agent can summarize all scorecards for a role into a single comparison view when it is time to decide.
Is candidate data safe to keep here?
It lives in your own Taskade workspace with role-based access, so only the people you invite can see it. On Business plans and above you can add SSO for your team, and Enterprise adds SCIM user provisioning.
