Project Templates

Definition: A Taskade project template is a reusable starting point that holds a project's tasks, headings, and structure. This guide walks the full lifecycle: find a template, use it, create your own, share it, and schedule it.

TL;DR: Start from Use Template or the Template Gallery. Save your own from the Templates tab, or with Add to Templates on any project. Share by Viewer link or embed code. Schedule repeats on a paid plan. Templates copy structure, never the data of live projects. For the concept page, see Project Templates. Build one free →

What are Project Templates?

They are blueprints. The Template Gallery lists hundreds of ready frameworks across categories such as personal, project management, education, and remote work. Every one is fully customizable, and works in every project view. Source: Template Gallery.

Step by Step

  1. Use one. Click + next to Projects, click Use Template, pick a category or search, and click a template. Taskade opens AI project creation with the prompt filled in.
  2. Create one. Open the Templates tab, click Create a template, and add tasks and headings.
  3. Convert a project. Click More, then Add to Templates, and pick the destination.
  4. Share it. In the Templates tab click Share, choose Invite to project with the Viewer permission, and copy the link. Or copy the embed code from the Embed tab.
  5. Schedule it. Click the schedule pill, set Every to days or weeks, pick the time, and click Schedule.

Worked Example: Employee Onboarding

An HR lead builds "New Hire Onboarding".

  1. She creates the project with a Check block per week and a Paragraph block for the welcome note.
  2. She clicks Add to Templates and picks the HR folder.
  3. Each new hire gets a project from Use Template on the card.
  4. She shares a Viewer link on the careers wiki, so managers can preview the plan.
  5. Nothing from past hires carries over, because templates copy structure only.

Common Mistakes

  • Sharing with edit rights externally. Use the Viewer permission so recipients cannot change the original.
  • Expecting live data to copy. Assignees and comments do not carry over.
  • Forgetting the plan limit for schedules. Scheduled templates need a paid plan.
