What does this automation do?
Every unread message from the week is handled one at a time: an agent decides where it belongs, the message is filed, and the mailbox ends the week clean.
What can you do with it?
- Work the backlog message by message instead of declaring bankruptcy
- Keep the filing decision consistent across hundreds of messages
- Start Monday with an inbox that reflects reality
The Steps
This automation runs in 3 steps:
- When Schedule — Every Week
- Then Microsoft Outlook — Find Email
- Then Loop over each unread message — Ask Agent, Move Email to Folder, Mark Email as Read
What makes this different from a Zapier-style flow?
The "Backlog Sorter" step is not a one-off model call. It is a Taskade AI agent that knows your folder structure and what belongs in each one, remembers how it filed similar messages in earlier sweeps, so every run builds on the last one instead of starting from an empty prompt.
A stateless "ask the model" step forgets everything the moment it returns. An agent keeps its knowledge and its memory between runs, carries its own tools, and can be handed work by other automations.
Who is this automation for?
Built for teams whose shared mailbox never reaches zero. Every unread message from the week is handled one at a time: an agent decides where it belongs, the message is filed, and the mailbox ends the week clean.
How do you set it up?
- Open the "Automations" tab in your workspace.
