What does this automation do?
An agent works out which team the message belongs to, forwards it there, and leaves a task behind so nothing is forwarded and forgotten.
What can you do with it?
- Stop the manual "who handles this?" forward
- Keep a record that the message was routed and to whom
- Route by what the message means, not by the words in the subject line
The Steps
This automation runs in 4 steps:
- When Gmail — New Email
- Then Taskade AI — Ask Agent ("Routing Desk")
- Then Gmail — Forward Email
- Then Taskade — Add Task
What makes this different from a Zapier-style flow?
The "Routing Desk" step is not a one-off model call. It is a Taskade AI agent that knows your teams and which kind of request each one owns, remembers how similar messages were routed before, so every run builds on the last one instead of starting from an empty prompt.
A stateless "ask the model" step forgets everything the moment it returns. An agent keeps its knowledge and its memory between runs, carries its own tools, and can be handed work by other automations.
Who is this automation for?
Built for teams sharing one public address across several functions. An agent works out which team the message belongs to, forwards it there, and leaves a task behind so nothing is forwarded and forgotten.
How do you set it up?
