☑️ Approve Time Before It Becomes an Invoice

Capture the hours your team actually works, approve them without a Friday scramble, and see utilization before the month closes. These time tracking prompts build the layer between the work and the invoice: entries against projects, approvals with an owner, budget burn per project, and reminders that arrive before the timesheet is late. Built for agencies, studios, and service teams who bill for their time and want the numbers to be true.

Timesheets are approved without anyone really looking, and errors reach the client. Build me an approval app. Set a weekly submission deadline. Each person submits their week, and it routes to their manager and, where the time is billable, optionally to the relevant project lead. Rather than presenting a flat list, highlight what is worth questioning: entries far above or below the person usual pattern, time on a project that is already over budget, round-number entries across a whole week, days with no time at all, and anything recorded long after the fact. A reviewer approves, or rejects with a reason that routes it back for correction. Once approved, lock the entries so they cannot be changed without a recorded adjustment. Add an AI agent that produces the reviewer summary, saying in two or three lines what is worth checking in this submission and why. Automate three things: a submission reminder before the deadline, an escalation to me on approvals not done within two days, and a scheduled report of unapproved time before payroll close. Two logins: a person who submits their own time, and a manager who reviews and approves.

Approve Time Before It Becomes an Invoice

Route timesheets through weekly approval with unusual entries highlighted, reasoned rejections, and locked approved time.

// the spark catches · intelligence awakens · the answer unfolds

Time approved as a formality lets errors reach the client. This shows the reviewer what is unusual, so approval is a real check rather than a click.

What's Included

  • A weekly submission and approval cycle with a clear deadline.
  • Unusual entries highlighted so review is targeted.
  • Rejections with a reason and a route back.
  • An assistant that flags what is worth questioning.

How To Use

  1. Highlight the unusual so reviewers look at what matters.
  2. Set a submission deadline and enforce it.
  3. Require a reason on rejection so the correction is right.
  4. Lock approved time so it cannot be quietly changed afterwards.

Feed it into payroll export and client reporting.
