🌦️ Plan for a Seasonal Rush

Capture the hours your team actually works, approve them without a Friday scramble, and see utilization before the month closes. These time tracking prompts build the layer between the work and the invoice: entries against projects, approvals with an owner, budget burn per project, and reminders that arrive before the timesheet is late. Built for agencies, studios, and service teams who bill for their time and want the numbers to be true.

Every year our busy season arrives and we recruit too late and pay too much. Build me a seasonal planning app. Let me define a season with its dates and pull in last year's actual hours worked, demand and staffing for the same period as the baseline. Forecast the hours needed this year by week and by role, adjusted by a growth factor I set. Compare that against my permanent team available hours to give the gap in hours per week and per role. From that, work out how many additional people are needed and, working backwards from the date they must be productive rather than their start date, produce dated recruitment, onboarding and training milestones including the training time before they contribute fully. Cost the plan and compare it against the cost of covering the same hours with overtime. Add an AI agent that reviews progress and tells me which recruitment is now late enough to put the season at risk and what the fallback would cost. Automate two things: reminders on recruitment milestones, and a scheduled weekly readiness report as the season approaches. Two logins: a manager who plans their own area, and an owner who approves cost.

Plan for a Seasonal Rush

Forecast seasonal hours from last year, plan recruitment backwards from productivity dates, and compare against overtime cost.

// the spark catches · intelligence awakens · the answer unfolds

Seasonal staffing is decided too late and costs more than it should. This forecasts the extra hours from last year and works recruitment backwards from when they are needed.

What's Included

  • Extra hours forecast from last year real demand.
  • Recruitment dated backwards from when people must be productive.
  • Training time included because day one is not full productivity.
  • An assistant that flags recruitment now at risk.

How To Use

  1. Forecast from last year's actual hours, not from how it felt.
  2. Work backwards from the date people must be productive, not from their start date.
  3. Include training time. Nobody is fully productive on day one.
  4. Compare the cost of overtime against the cost of extra people.

Roster them with the rota scheduler, and cost it with the employee cost calculator.
