🏖️ Plan Annual Leave Without Leaving Gaps

Capture the hours your team actually works, approve them without a Friday scramble, and see utilization before the month closes. These time tracking prompts build the layer between the work and the invoice: entries against projects, approvals with an owner, budget burn per project, and reminders that arrive before the timesheet is late. Built for agencies, studios, and service teams who bill for their time and want the numbers to be true.

Leave requests come to me by message and I approve them one at a time, then discover a week with nobody in. Build me a leave app. Hold each person's entitlement, carry over, days booked and days remaining, calculated automatically. When someone requests leave, check it against a minimum cover level I set per role and per location, and show the manager who else is already off in that period before they approve. Show a year calendar of the whole team so people can see clashes before they request. Track different absence types such as annual leave, unpaid leave and other categories separately. Add an AI agent that reviews the year and tells me which weeks are heading for a cover shortage, who has a large unused balance that will cause a problem later in the year, and where approving a pending request would take a team below minimum cover. Automate three things: a notification to the requester on approval or decline, a reminder to anyone with a large unused balance as the year end approaches, and a scheduled monthly cover forecast to managers. Two logins: staff who request and see their own balance plus the team calendar, and a manager who approves.

Plan Annual Leave Without Leaving Gaps

Manage leave entitlement and requests with automatic cover checks, a team year calendar, and shortage forecasting.

// the spark catches · intelligence awakens · the answer unfolds

Leave approved one request at a time creates a week in August with nobody in. This checks cover as the request is made and shows the whole year on one calendar.

What's Included

  • Entitlement and balance per person calculated rather than tracked by hand.
  • Cover checked at request time not after approval.
  • A year calendar so clashes are visible early.
  • An assistant that finds the weeks that will be short.

How To Use

  1. Check cover as the request is made, not after it is approved.
  2. Show the whole team calendar so people can self-select around it.
  3. Set a minimum cover level per role and enforce it.
  4. Watch unused leave. A large balance in November is a problem coming.

Reflect it in the rota scheduler, and track absence with the attendance log.
