What does this automation do?
The invitation is read, an agent writes the brief from what it already knows about the account, and a project opens from your template.
What can you do with it?
- Arrive with a brief instead of a subject line
- Use the same meeting shape every time without rebuilding it
- Keep the preparation attached to the meeting it belongs to
The Steps
This automation runs in 4 steps:
- When Microsoft Outlook — New Email
- Then Microsoft Outlook — Get Email
- Then Taskade AI — Ask Agent ("Meeting Prep")
- Then Taskade — Create Project From Template
What makes this different from a Zapier-style flow?
The "Meeting Prep" step is not a one-off model call. It is a Taskade AI agent that knows your accounts, attendees and the projects they touch, remembers what was decided at the previous meeting with these people, so every run builds on the last one instead of starting from an empty prompt.
A stateless "ask the model" step forgets everything the moment it returns. An agent keeps its knowledge and its memory between runs, carries its own tools, and can be handed work by other automations.
Who is this automation for?
Built for anyone who walks into meetings having read the invite in the room. The invitation is read, an agent writes the brief from what it already knows about the account, and a project opens from your template.
How do you set it up?
- Open the "Automations" tab in your workspace.
- Click ➕ Add automation, then start from scratch.
