Ask for the card photos before the appointment, not at the counter, and get a tidy record showing exactly who has supplied what. A short upload page goes out with the booking confirmation, people photograph the front and back on their phone, and the front desk sees a green row instead of a queue holding up the door.
Start from the Application Tracker Board. It is a live Taskade Genesis app that already asks for documents and files them against one person's record, which is exactly the mechanism this build needs, even though it collects applications rather than card photos. Clone it into your own workspace in about ten seconds, swap the questions for card front, card back, and identification, and add the received-versus-outstanding status your desk reads each morning.
The build gives you an upload page you can send by link, front and back capture prompts so nobody sends one side and stops, a per-person record showing received and outstanding items, a reader that pulls the plan name and member number off the image into fields, and a review step so a human confirms before anything is treated as final. Upload behaviour is covered in file uploads, and the reading side in document intake.
Worth knowing: reading text off a photo is bounded at 20 MB per image, and typed document uploads follow your plan's own upload size, 10 MB on Free. A phone photo of a card is nowhere near either limit.
Status is legible in whichever layout suits the moment:
- Table view for the grid of who has supplied which document
- List view for a simple chase list of everyone still outstanding
- Calendar view to see outstanding items against upcoming appointment dates
- Plus the rest of the 7 project views
Automations do the chasing. On paid plans, Taskade automations send the upload link with the booking confirmation, remind anyone still outstanding two days out, and mark the record complete the moment both sides arrive. Across 100+ bidirectional integrations, your calendar pulls the appointment in while Gmail pushes the request and the reminder out.
The AI agents carry 34 built-in tools including file analysis and persistent memory. The agent reads the card, proposes the plan name and member number, and flags anything blurry rather than guessing at a digit.
Workspace DNA closes the gap between asking and having. Memory holds what each person has already supplied so nobody is asked twice. Intelligence, drawing on 15+ frontier models from OpenAI, Anthropic, Google, and open-weight providers, reads the image, proposes the fields, and says plainly when a photo is not readable. Execution requests, reminds, and marks the record complete without a person tracking it on paper.
Running it in your practice
- List the documents you ask for. Card front, card back, photo identification, and anything specific to your practice. Each becomes its own item with its own status.
- Clone the app and send the upload link with confirmations. Asking at booking time rather than at the door is the whole trick.
- Set the confirmation step. Decide what a staff member must accept before a proposed plan name or member number is treated as final.
- Turn on the reminder. On a paid plan, a single reminder two days out closes most of the outstanding items without anyone making a call.
- Check tomorrow filter each afternoon. Anyone still outstanding with an appointment tomorrow is a two minute call rather than a five minute queue at the counter.
The visible result is the morning queue: nobody is standing at the desk photographing a card while three people wait behind them.
Clone the app, invite your team, and the records live in your workspace. What you collect, who can open it, and how long you keep an image are decisions your practice makes.
More to explore: build a customer portal if you want a signed-in page rather than a link, the Community Gallery for apps others have published, or create to start from your own description. This pairs with the new patient intake form so documents and answers arrive together, and with tracking returned forms for the paperwork side.
Frequently Asked Questions
Do people need an account to upload?
Not for a plain link. You can send a link that opens the upload page directly. If you would rather each person sign in and see only their own record, that runs on the Business plan and above with your own domain, and App Users is in beta.
What if somebody sends a blurry photo?
The agent flags it rather than guessing, and the record stays outstanding with a note. An automation can send a short re-request explaining which side was unreadable, which is faster than discovering it at the counter.
Can we ask for other documents at the same time?
Yes. Add whatever your practice needs, for example a referral letter or a completed form from another office. Each becomes its own item on the record with its own received status.
Does it read the card automatically?
It proposes the fields it can read, such as plan name and member number, and holds them for confirmation. Nothing is treated as verified until a person on your team accepts it.
How do we know who is still missing something?
The list view is the chase list. Filter to outstanding, and the people with an appointment in the next few days sort to the top. The same data drives the reminder automation on paid plans.
Can we delete images once the details are captured?
Yes. Removing the file while keeping the confirmed fields is a normal pattern, and you decide the rule. The app does not force you to retain anything.
Does this verify coverage with the insurer?
No. It collects and organises what people send you and reads the printed details into fields. Any verification with a payer happens in whatever system your practice already uses for that.
