Every new volunteer moving from application to first shift on a visible track, with the waiver, the background check, and the orientation each showing done or not done. Describe your intake steps and Taskade Genesis builds the pipeline, the reminders, and the welcome sequence so nobody signs up in March and hears from you in June.
The app embedded on this page is Quick Apps Onboarding, a real Taskade Genesis build and the nearest match here: it walks new people through a checklist of steps. Move someone across the stages, open a record, see the outstanding items, then clone it in about ten seconds and swap its steps for the volunteer paperwork described above.
What you get is a stage board that mirrors your actual process: applied, screened, interviewed, references checked, background check submitted, background check cleared, waiver signed, orientation attended, role assigned, first shift completed, and active. Each volunteer record holds contact details, availability, skills, interests, language, emergency contact, the roles they are cleared for, and every document with its date. Linked records connect a volunteer to the shifts they work and the hours they log.
Workspace DNA turns a stack of forms into a process. Memory holds each person's history from the first application onward, so a returning volunteer does not repeat their whole intake. Intelligence, using 15+ frontier models from OpenAI, Anthropic, Google, and open-weight providers, reads an application and suggests the roles that fit the person's stated skills and availability, and drafts the personal welcome note. Execution chases the missing waiver, schedules the orientation, and tells the coordinator who is stuck.
Track intake in the layout that suits the day:
- Board view, applicants moving across the onboarding stages
- Table view, every volunteer with document status and cleared roles
- List view, the checklist for one person, ready for an interview
- Calendar view, orientation dates and background check expiries
- Plus Mind Map, Gantt, and Org Chart across the 7 project views
Automations end the chasing. With Taskade automations, an application creates the record and sends the welcome email within minutes, a missing waiver after five days sends a friendly nudge, a cleared background check moves the person to orientation, and a completed orientation notifies the shift coordinator that a new volunteer is available. Across 100+ bidirectional integrations, your form tool and Gmail pull applications and replies in while Slack and email push assignments out.
The AI agents carry 34 built-in tools including file analysis, so an agent can read a submitted form or an uploaded certification and record the expiry date without anyone retyping it.
Clone it, invite your volunteer coordinator and your site leads, and the roster, the documents, and the clearance dates stay in your workspace.

Frequently Asked Questions
Can the application be a form on our website?
Yes. Publish a form that writes directly into the tracker, so a submission creates the record and starts the sequence. On Business plans and above you can host it on your own domain with sign-in for returning volunteers.
Does it run the background checks?
No. Your screening provider does that. The app tracks submission dates, results, expiry dates, and which roles require a current check, and it will not clear someone for a restricted role without one.
How do we store waivers and certifications?
Upload them to the volunteer record. The agent can read a certification and capture its expiry date, then create a renewal reminder before it lapses.
What about volunteers who apply and go quiet?
They sit visibly in a stage rather than disappearing into an inbox. A configurable nudge sequence follows up twice, then moves them to a dormant list you can revive before your next big push.
Can we onboard minors or court-ordered service volunteers?
Yes. Add the extra fields those cases need, such as a guardian consent form or required hours and a signed verification, and the checklist adapts per volunteer type.
Is volunteer data kept separate from donor data?
You decide. Keep them in separate projects with separate permissions, or link them when someone is both. Access is set per project, so a shift lead never sees giving history.
How long does it take to set up?
The app is generated from your prompt in seconds, and most of your time goes into confirming your actual stages and uploading your current forms. Cloning the version on this page shortens that further.
