⚠️ Handle Complaints Properly and On Time

Run a book of business without letting a renewal slip. These prompts build what an agent or broker actually needs: every policy with its renewal date, commission you can check, claims tracked from notification to settlement, and a client portal that answers the routine questions. The renewal date does the work, because it is a reminder that repeats every year on its own.

We handle complaints by email and I am not confident we always meet the timescales. Build me a complaint app. Log every complaint however it arrives, including verbal ones, with the client, the date received, how it arrived, who received it, the complaint in the client's own words, the policy or service it concerns, and the person handling it. Track the required acknowledgement and final response deadlines from the date received, showing time remaining clearly and turning urgent as a deadline approaches. Record the outcome, whether it was upheld, any redress, and separately the root cause rather than just the resolution. Report complaints by cause, by policy type and by agent, with trends over time. Add an AI agent that drafts the acknowledgement and the final response in a clear, non defensive tone, and that groups complaints into recurring themes so I can see what is a process failure rather than a one-off. Automate three things: an alert as each deadline approaches, an escalation to me on anything unresolved close to its final deadline, and a scheduled quarterly themes report. Two logins: a handler who works their own complaints, and an owner who sees all of them.

Handle Complaints Properly and On Time

Log every complaint with response deadlines, track time remaining, record root cause, and surface recurring themes.

// the spark catches · intelligence awakens · the answer unfolds

Complaints have deadlines and a complaint handled well often keeps the client. This logs each one, tracks the clock, and shows what keeps recurring.

What's Included

  • Every complaint logged however it arrived.
  • Response deadlines tracked with time remaining shown.
  • Root cause recorded not just the resolution.
  • An assistant that drafts the acknowledgement and the response.

How To Use

  1. Log every complaint, including verbal ones. That is usually the requirement.
  2. Track the clock from the day it was received, not the day it was noticed.
  3. Record root cause. The resolution alone changes nothing.
  4. Review themes quarterly. Repeat complaints are a process problem.

Feed the causes into file review, and the client outcome into retention analysis.
