📋 Track a Claim From the First Call

Run a book of business without letting a renewal slip. These prompts build what an agent or broker actually needs: every policy with its renewal date, commission you can check, claims tracked from notification to settlement, and a client portal that answers the routine questions. The renewal date does the work, because it is a reminder that repeats every year on its own.

When a client has a claim, everything happens by phone and email and I lose track. Build me a claims app. Log a claim at first notification with the client, the policy it sits under, the date of loss, the date notified, what happened in the client's own words, the estimated value, any reference the carrier gives, and the person handling it. Track stages of Notified, Submitted to Carrier, Under Assessment, Awaiting Information, Settled or Declined, with the date of each change and a note. Attach photographs and documents to the claim. Give the client updates automatically at each stage change so they are not ringing me for news. Add an AI agent that reviews open claims and flags anything sitting at one stage longer than normal, anything waiting on information from the client, and anything where the carrier has not responded within their stated timescale, and that drafts the chase for each. Automate three things: the client update on each stage change, a chase to the carrier when a claim exceeds a response window, and a scheduled weekly summary of open claims by value and age. Two logins: a handler who works their own claims, and an owner who sees all of them.

Track a Claim From the First Call

Log claims from first notification through settlement with staged progress, automatic client updates, and stall alerts.

// the spark catches · intelligence awakens · the answer unfolds

A claim is when a client finds out what you are worth. This keeps every claim moving, with the client updated without ringing and nothing sitting waiting on someone who forgot.

What's Included

  • Every claim logged at first notification with what happened and when.
  • Clear stages from notified to settled or declined.
  • Client updates sent automatically which removes most of the calls.
  • An assistant that flags a claim sitting too long.

How To Use

  1. Log the claim at the first call, before you do anything else.
  2. Update the client at each stage. Silence during a claim is what loses clients.
  3. Chase the carrier on a schedule rather than when the client rings.
  4. Record the outcome. Claims history changes the next renewal conversation.

Link it to the policy register, and reflect it in the renewal engine.
