🚪 Give Clients Their Own Policy Portal

Run a book of business without letting a renewal slip. These prompts build what an agent or broker actually needs: every policy with its renewal date, commission you can check, claims tracked from notification to settlement, and a client portal that answers the routine questions. The renewal date does the work, because it is a reminder that repeats every year on its own.

Give Clients Their Own Policy Portal

Copy

My clients email me constantly for copies of documents they already have. Build me a client portal. A client signs in and sees only their own policies with the carrier, the cover, the sum insured, the premium and the renewal date, along with every document attached to those policies ready to download, and the status of any open claim. Set up explicitly which records each signed-in client can see, and give me a way to test it by signing in as a second client and confirming I cannot see the first one. Let a client request a change, ask a question, or report a claim from inside the portal, which creates a task for the right person in my agency. Add an AI agent in the portal that answers questions using only that client's own policies, such as when their cover renews or whether something is covered according to their own documents, and that hands anything requiring judgement to a human rather than guessing. Automate two things: notify the client when a new document is added, and a scheduled reminder before their renewal date. Two logins: a client who sees only their own records, and an agent who sees their clients.

Give Clients Their Own Policy Portal

Give clients a portal for their policies, documents, renewal dates, and claim status, with each client matched to their own records.

// the spark catches · intelligence awakens · the answer unfolds

Most client emails ask for a document they already have. A portal answers those without you, and it makes the agency look considerably larger than it is.

What's Included

  • Policies and documents in one place per client.
  • Renewal dates visible so the conversation starts earlier.
  • Claim status without a phone call.
  • An assistant answering from that client's own records only.

How To Use

  1. Match each client to their own records and test it with a second account.
  2. Put the documents in first. That is most of the email volume.
  3. Show renewal dates. Clients who see them start the conversation themselves.
  4. Add your own domain on Business plans and above, at $25 per month billed annually.

Fill it from the policy register, and extend it with client portal prompts.
