🗂️ Keep Documents Where You Can Find Them

Run a book of business without letting a renewal slip. These prompts build what an agent or broker actually needs: every policy with its renewal date, commission you can check, claims tracked from notification to settlement, and a client portal that answers the routine questions. The renewal date does the work, because it is a reminder that repeats every year on its own.

Our policy documents are scattered across email and folders and I can never find anything quickly. Build me a document library. File every document against the client, the policy and the policy year, with a document type such as schedule, wording, certificate, endorsement, invoice or correspondence, the date, and who added it. Keep version history so a superseded schedule is retained but the current one is clearly marked, since I may need to prove what cover applied at a particular date. Let clients see and download their own documents through their portal. Set a retention period per document type. Add an AI agent that finds a document from a plain description such as the schedule for last year motor policy, and that reviews a policy year and tells me which expected documents are missing. Automate two things: a prompt to file the schedule and wording whenever a policy is bound or renewed, and a scheduled quarterly report of policies missing key documents. Two logins: a client who sees only their own documents, tested with a second account, and an agent who files and sees their clients.

Keep Documents Where You Can Find Them

File policy documents by client and policy year with version history, client access, and plain-language search.

// the spark catches · intelligence awakens · the answer unfolds

Documents in an email archive are documents you cannot find under pressure. This files everything against the client and the policy year, with the current version obvious.

What's Included

  • Filed against client and policy year not by date received.
  • Versions kept with the current one clearly marked.
  • Client access to their own documents which removes most requests.
  • An assistant that finds a document from a plain description.

How To Use

  1. File by client and policy year. Filing by date makes retrieval impossible.
  2. Keep superseded versions. You will need to prove what applied when.
  3. Give clients access to their own documents.
  4. Set a retention period deliberately rather than keeping everything forever.

Surface it in the client portal, and check completeness with file review.
